For Controller / AP-AR · 8 Grok Bots

A back office for AP and AR that keeps cash on terms and close on time

8 Grok Bots for a controller who owns AP and AR: capture and match every invoice, draft the weekly payment run, follow up overdue accounts, read the aging, keep master data clean, and package the month-end close — all as drafts you approve before anything pays or sends.

The problem it targets

Running the accounts-payable and accounts-receivable cycle by hand — keying vendor invoices and matching them to purchase orders and receipts, building the weekly payment run from what is due and approved, chasing overdue customers off a stale aging report, cleaning up duplicate and half-filled vendor and customer records, and rebuilding the month-end AP/AR close and subledger tie-out every period — so invoices post late, early-pay discounts get missed, cash goes out against the wrong terms, receivables slip past due unseen, and close runs long.

What you get

From day one

1

Every incoming invoice captured and matched to its PO and receipt, with exceptions flagged, and a master-data check so payments and statements go to the right place.

2

A weekly payment run drafted from approved, due invoices — terms and early-pay discounts shown — and collections reminders drafted for overdue customer accounts, ready for you to send.

3

A weekly aging read with DSO and DPO trends and a month-end close package with the subledger tied to the GL and every number traced to its rows.

What the fleet does in week one

All read-and-prepare — you check its work before anything is trusted

What it does not do

The guardrails are the product

  • ×It drafts; it does not send. Every payment run, reminder, and statement waits for your approval.
  • ×It never releases a payment, cuts a check, or moves money — the disbursement is your call and the bank's.
  • ×It never posts to the GL, books an accrual, or commits the close; it drafts the tie-out and you post.
  • ×It works only your own customer and vendor accounts and contacts. It does not buy lists or reach anyone you have not chosen.

How you'll know it's working

One number, measured over time

Share of invoices posted and matched before their due date, payment runs that honor terms with no missed early-pay discount, receivables kept current, and an AP/AR close where the subledger ties to the GL

Before day one

What you fill in — the bots never guess these

ap-ledger
the header contract for the AP invoice log every bot reads.
payment-run
the layout of the weekly payment run.

How access works

You buy a CrokPot fleet from Workplace AI — not a Cursor plan

CrokPot runs on Workplace AI, Inc.’s (WAI) Cursor Teams workspace. WAI keeps the unpaid admin seat and pays Cursor for your seat. You join as the invited user on your real email and work through the installed Grok Bot fleet.

Your card is charged by WAI via Stripe for the CrokPot fleet ($200/mo, auto-renewing monthly) only — never by Cursor. If you cancel your fleet subscription, the invite/seat ends with it and is not portable to your own Cursor account.

What do I actually get?

A pre-built fleet of Grok Bots for your trade, provisioned and installed for you on Workplace AI’s Cursor Teams workspace, plus onboarding and ongoing training. Every bot drafts; you approve.

Who owns the seat?

Workplace AI, Inc. (WAI) owns the Cursor Teams account and pays Cursor for your seat. You’re invited as a paid user on your own email. The seat isn’t portable to a personal Cursor account.

Do the bots act on their own?

No. The fleet is drafts-only, working from your own data. Nothing sends, files, or is trusted until you review and approve it — that’s the whole design.

Can I cancel?

Yes, anytime. It’s an auto-renewing monthly subscription at $200/mo. If you cancel, your invite/seat ends with the subscription.

What happens after I pay?

We follow up soon: our team provisions your fleet and invites you on the email you used at checkout. Watch for your Cursor Teams invite and Grok Bot download link, then accept, install, and go.
